Frequently asked questions
The service
What does backstreamAI do?
We assess how work is really done, then automate the chosen processes and keep the automations running. For the assessment, employees record their screen while they work, and an AI interview fills in the details. The result is a process map that shows the effort and the savings potential for every process.
Which processes are worth starting with?
Those with a lot of repetitive work, such as invoice processing, data entry, reporting or customer administration. The assessment shows how much of a process can be automated.
Do we have to replace our current systems?
No. The automations always connect to your existing systems; your team works with them on our platform or in the tools they already use every day.
Who decides what gets automated?
Your management, based on the process map. The map shows where the effort goes and what can be automated, and you choose which processes to take forward.
The assessment
What do employees have to do?
Employees make short screen recordings during their normal work; they start the recordings themselves and can pause them at any time. An AI interview then asks about the details, the difficulties and where the process could improve. We only meet in person if something is still open.
What do we receive at the end of the assessment?
A process map of who does what, how often, how long it takes and what effort it costs. Alongside it, for each process, the bottlenecks, the automation opportunities and the expected savings.
Who owns the process map?
You do. The process map and your data belong to you.
Automation and operation
Who operates the automations?
We do. We run and monitor them, and adapt them when your systems change. New functionality counts as new development, which we quote separately.
What happens when the contract ends?
Within 30 days you can export your data, the process map and your configuration, or we hand them over in a machine-readable format on request. We also provide a short operating guide for the automations we built.
What if backstreamAI discontinued the platform?
We would notify you in writing at least 90 days in advance and make the transition possible during that time.
Price and return
How much does it cost?
The price depends on the processes assessed and the automations chosen, so there is no list price. After the assessment we send a specific proposal that also states the result to be achieved.
What return can we expect?
That depends on the processes: one that runs many times a day pays back differently from a rare one. The calculator gives a rough estimate; the free assessment shows the real savings potential of one process.
CalculatorData security
Is our data used to train AI models?
No. We do not use your data, including the recordings, to train AI models, and we only use AI providers that exclude this in their contracts.
Where is our data processed?
In data centres within the European Union. Each client's data sits in a separate environment and is encrypted in transit and at rest.
Data handling and securityWhat happens to the screen recordings?
Raw video and audio are deleted after processing. Recordings may only be used to assess and improve processes, not to evaluate employees' performance.
Who can access our data?
Only people who need it for their task, only to the extent needed, with personal and logged access. Administrator access uses multi-factor authentication.
Who is the data controller?
Your company is the controller of its employees' data; backstreamAI acts as a data processor. We notify you of a personal data breach within 48 hours at the latest.
